Overall purpose of job

To run and administer a busy service reception in a motor manufacturers retail service department

Main activities and tasks

• Deal with customer enquiries and bookings on a face to face level and via telephone
• Supervise, administer and maintain a workshop loading system
• Utilize, maintain and administer the Dealer Management System
• Administer and supervise a service department customer satisfaction initiative
• Create and administer job cards containing technical instruction, update job cards with technician supplied work details, create invoices from completed job cards
• Ensure all parts and labour costs are correctly allocated to the relevant jobs and departments
• Submit and administer warranty and goodwill claims
• Where necessary, contribute and maintain the service department quality reporting system (Service Now)
• Create and maintain monthly reports covering service department activities
• Provide support to ensure all service department activities are delivered right first time, on time
• Organize and supervise any service customer reminders or mail shots
• Professionally deal with customer complaints and liaise with MG customer relation services
• Supervise and mentor junior service staff

SPECIAL REQUIREMENTS

• Experience of working in a busy, efficient, service reception and administration department
• Excellent telephone manner suited to dealing with retail and internal customer enquiries
• An ability to cope under the pressures associated with a busy automotive dealership
• Excellent communication and organizational skills
• An extensive knowledge or Microsoft Windows (MS Excel in particular)
• Familiarity with service and parts dealer management systems
• Basic technical automotive knowledge

• Must be prepared to support dealer events and off site activities
• Full Clean driving licence
